Cleveland Clinic Abu Dhabi is a world-class, multispecialty hospital bringing the highest standards of complex and critical care to the United Arab Emirates. Benefiting from state-of-the-art facilities, including 411 beds, of which 90 are for critical care, the hospital delivers advanced therapies and medicine by combining global expertise with a multidisciplinary, Patients-First philosophy to deliver the best patient outcomes. Cleveland Clinic Abu Dhabi has performed more than 1,600 robotic procedures to date. 

This high-tech environment relies on a sophisticated digital foundation, maintained by the IT Project Management Office (PMO). By overseeing the complex systems supporting everything from multi-organ transplants to adaptive radiotherapy, the IT department is the hospital’s invisible engine, helping translate technological advancements into world-class care for patients across the region.

The challenge

Prior to adopting monday.com, Cleveland Clinic Abu Dhabi relied on an aging enterprise legacy work management system. Rigid and non-intuitive, this platform created a fragmented experience for users across the organization, acting as a bottleneck to innovation. Its complex interface made onboarding new staff a challenge, requiring the PMO team to provide constant hands-on training to bring new users up to speed, which placed a significant strain on resources.

The legacy platform’s lack of flexibility also forced the IT team to create manual workarounds to manage data distribution, leading to delays, while adding operational overhead for clinical and administrative teams. 

“If there are delays in particular workflows, it can affect our stakeholders across the organization. In those moments, teams may need to revert to manual processes as a temporary workaround. This adds significant operational time and creates avoidable friction for frontline teams,” says Badria Almaazmi, IT Project Manager at Cleveland Clinic Abu Dhabi.

The solution

By focusing on the logic they already had in place, the department modernized its approach without stopping its essential support for the clinical teams, ensuring technology could keep pace with the urgent needs of a 24/7 clinical environment.

Reducing the administrative burden with automated project governance

With monday.com, the IT department has significantly reduced repetitive manual tasks. Previously, project managers spent hours each week chasing status updates and tracking down missing information. Now, 60% of that administrative work is automated.

When a milestone is reached or a project status changes, relevant stakeholders receive instant notifications, ensuring no task slips through the cracks. “Monday.com’s automations help us reduce our administrative overhead and standardize the way we work, allowing us to focus on important digital initiatives that keep clinical and operational systems running at peak performance,” says Almaazmi. 

Securing executive buy-in with real-time dashboards

This drive for efficiency extends to how the team shares progress with leadership. Previously, gaining visibility into project status and timelines relied on static meetings and manual data extraction from the legacy platform. To bridge this gap, Cleveland Clinic Abu Dhabi and Cloud Concept used monday.com to develop live, department-wide dashboards and a specialized CEO Tracker for the executive department.

These tools provide an instant overview of critical milestones and workload capacity, replacing the need for weekly status meetings. By using integrated forms to automate updates across all registers, project managers can ensure leaders have access to accurate, live insights. By providing this level of transparency, monday.com helps leadership to prioritize complex patient care initiatives more effectively, grounding strategic decisions in current, clinical-impact data.

Accelerating project delivery with centralized demand intake

The Cleveland Clinic Abu Dhabi IT team has also brought new clarity to the way it handles day-to-day service requests. At any given time, the IT department manages between 100 and 200 enhancement requests, from updates to clinical systems to the optimization of clinical workflows. Previously, these requests were often buried in email threads, leaving clinical teams in the dark about when their digital tools would be ready.

Today, requests flow directly from internal systems into a single queue in monday.com, where they are triaged and prioritized, giving IT teams a clear, consistent view of demand, and enabling them to deliver requested improvements in a timely manner. “With monday.com, requesters can log in and see exactly where their project sits in the cycle,” says Almaazmi. “Having that visibility allows them to report effectively to their own leaders.”

The impact

The transition to monday.com has streamlined project management for the Cleveland Clinic Abu Dhabi IT department, freeing the team up to continue innovating.

“Time is of critical importance to us. Eliminating those overheads gives me time to focus on other projects or develop enhanced processes for the team,” says Almaazmi. This efficiency has boosted collaboration across the 100+ IT users, with team members now speaking the same language within a single source of truth. As a result, clinical stakeholders can receive the digital support they need to maintain world-class healthcare standards.

The IT department’s success has already sparked interest across the organization. The Enterprise PMO has now been onboarded, and plans are underway to expand the platform to non-IT departments, ensuring Cleveland Clinic Abu Dhabi’s reputation as a clinical innovator is backed by smart, agile, and efficient processes across the organization.
