Travel Policy for monday.com External Service Providers

 Applies To: Contractors, Consultants, and External Service Providers traveling on behalf of monday.com

1. Purpose

This policy provides clear guidelines for external partners traveling on behalf of monday.com, ensuring cost-effective, safe, and professional travel. When traveling on behalf of monday.com, suppliers are required to request that their designated monday.com’s contact arrange the flight booking in accordance with the following conditions.

2. Flights

  • All flights should be booked in Economy Class.
  • Upgrades (Premium Economy, Business Class) are not covered unless pre-approved due to medical needs or contractual terms.
  • No reimbursement for self-funded upgrades or mileage redemptions.

3. Hotels

  • Maximum hotel rate caps:
  • Global: $350/night
  • Israel & Eastern Europe: $250/night
  • London & NYC: $420/night
  • Travellers on behalf of monday.com are encouraged to use monday.com’s preferred hotels where applicable.
  • Personal loyalty programs may be used, but should not affect booking decisions.

4. Transportation

  • Taxi/Uber: reimbursable for airport transfers and business-related local travel (with receipts).
  • Rail: Economy/second class only.

5. Insurance

  • Travelers are expected to hold their own travel insurance unless otherwise specified in their contract.

6. Per Diem

  • Unless otherwise specified in the contract, the per diem shall be provided as detailed below:
  • Standard: $82/day
  • Provided only for active business days (not for vacation/personal days).

7. Personal Travel

  • Personal travel must be clearly separated from business travel.
  • Any additional costs are the traveler’s responsibility.

8. Expense Reimbursements

  • Eligible business expenses will be reimbursed according to contractual terms.

  • For any travel-related questions or support, please reach out to your monday.com contact person.

10. Safety and Conduct

  • Travelers on behalf of monday.com are expected to comply with the same safety protocols and professional conduct expectations as monday.com employees. For detailed guidance, refer to Appendix A – Travel Safety Protocols.

11. Acknowledgment
By traveling under monday.com’s sponsorship, external service providers agree to adhere to the terms of this policy. Adhering to this policy helps ensure smooth payment processing and supports ongoing collaborations.

TRAVEL SAFETY PROTOCOLS

Travelers on behalf of monday.com may face various risks depending on their destination. Given today’s global climate, heightened awareness and careful preparation are essential for safe business travel.
To promote the safety and security of all employees, monday.com’s travel team has established a set of best practices. These guidelines provide essential measures for travellers traveling for work.

1. Preparation Before Travel

Gather and securely store the following key contact details:

  • Travel agency and emergency hotline
  • Names and phone numbers of colleagues traveling with you
  • Contact details of you monday.com contact person and relevant work contacts
  • Host’s contact information at your destination
  • Local and international emergency numbers, including medical assistance
  • Medical and baggage insurance provider details
  • Keep an accessible copy of your travel itinerary, including hotel name, address, and contact details.

2. Hotel Safety Measures

  • Identify emergency exits as soon as you check in.
  • Be alert to any unusual objects or disturbances in your room.
  • Always keep your hotel room door locked, whether you are inside or away.
  • Verify visitors before opening the door by using the peephole.
  • Secure valuable or sensitive materials in the in-room safe or a locked drawer.
  • Avoid receiving unexpected deliveries at your hotel.

3. General Travel Safety Tips

  • Follow all local laws and regulations.
  • If you are meeting with an unfamiliar party, confirm the meeting details with your colleagues and arrange the meeting in a known office space or a public place.
  • When using taxis or ride services, choose licensed providers rather than accepting unsolicited offers.
  • Choose well-populated, central areas for leisure activities.
  • Stay close to your travel group whenever possible.
  • Do not accept items from strangers.
  • If receiving a package or gift from a known contact, inspect its contents carefully.
  • Notify your manager of any changes in your itinerary.
  • Drink responsibly and avoid excessive alcohol consumption.
  • In case of a robbery, comply with demands and avoid confrontation.

4. Emergency Procedures

In an emergency, dial 112 (Europe) / 999 (UK) / 000 (AUS) / 911 (US) / 100 (Israel), the emergency number that connects to local emergency services. These numbers work even when the phone is locked. If you sense danger or observe suspicious activity, move to a well-populated area immediately and seek assistance from uniformed personnel or a nearby police station. Minimize actions that could draw unnecessary attention.
