The beauty of Workflowy is its simplicity. At its core, it’s a cloud-based outliner with a sleek hierarchy view that lets you create bulleted lists that are easy to collapse and track. What’s not so straightforward is figuring out how much Workflowy costs.

A quick glance at their website and you’ll notice there are no prices. In fact, there’s not much of anything. It’s just a sign-up form.

With no way of knowing upfront what you’re committing to, you may be a bit hesitant to give Workflowy a try. What if you end up liking Workflowy, but it’s outside your budget? That’d be nice to know upfront.

Workflowy Pro trial period

After your Pro Plan trial is up, you’ll retain all your tasks and lists, but Workflowy limits non-pro users to a max of 250 items per month.

For the casual user, 250 items are probably enough, but if you’re a college student taking copious amounts of notes or you’re in a creative profession like journalism or writing, you’ll likely use up your 250 rather quickly.

You do get an additional 250 items monthly, so if you sign up and leave it alone for a couple of months or delete items when they’re no longer needed, you may be able to trick the system into suiting your needs without paying.

It is also possible to increase your monthly item distribution without going Pro by referring friends with your unique referral link, which you can find at once you sign up.

Each referral gets you 100 extra monthly items making it a forever upgrade to your account versus a one time deal.

If you do decide to go Pro, you’ll find there’s no way to type in a discount code at checkout, nor are there any valid discount codes for students.

So, how does Workflowy’s pricing work?

The only way to find Workflowy’s pricing is to hand over your email. You’ll then need to log in and find the upgrade screen.

First, click the 3 dots in the upper right-hand corner of the main screen and click Settings next to the gear icon from the drop-down menu.

How many paid plans does Workflowy offer?

Workflowy only has 1 paid plan, and that’s Workflowy Pro, which costs $4.99 per month or $49 per year. Opting for an annual payment plan will save you 20% or $10.88 annually.

What do you get with Workflowy’s Pro plan?

Workflowy Pro has a handful of useful features ranging from:

  • Unlimited lists giving you the luxury of creating as many items and lists as you want.
  • Premium support, so Workflowy support staff prioritizes your emails above free members.
  • Additional themes and fonts so you can customize the look and feel of your Workflowy account.
  • Automatic Dropbox backups, so you get peace of mind knowing your Workflowy data is safe and secure each night.
  • Enhanced collaboration tools that allow you to share in full access mode and view-only mode.

That last point warrants a little clarification. Free accounts can share in 2 modes: full access (which means they can edit and share the document with others) and view-only. Pro accounts can share in 3: full access, edit-only (no additional sharing), and view-only.

Is Workflowy the best choice for your needs?

As a standalone note-taking app and organizational tool, Workflowy has some neat features worth exploring. The nested lists alone are worth trying out.

Its simple design helps you focus free from distraction, and its indexing via hashtag embedding is pretty handy.

Sharing your outlines and notes with friends is a useful feature as well, but if you’re looking for a true project management tool, it has a lot of room to grow.

Workflowy’s design is meant for single users to track their own thoughts, notes, and tasks; not for teams to work together on business projects.
