What is a job application template?

A job application is typically the first step in the new hire process. Applicants fill out a form with their information, such as phone number, email address, education history, and work history, which help you decide which candidates to advance to the next round. Many online applications also have fields where applicants can attach resumes, video resumes and cover letters.

A job application template provides a common starting place for creating applications. It also supports options for customization based on the specific needs of different roles. Let’s explore more benefits of using a template for job applications

Why use a job application template?

A job application template allows you to create a consistent format so you won’t have to entirely reinvent the wheel each time a new position becomes available.

It also creates a system for collecting essential information so you can make swift decisions about a candidate’s fit from the start or have the right data to launch background checks.

If your job application template is connected to a Work OS like monday.com, you can easily sort applicant information in one workspace. This reduces manual work and allows your recruiters to filter data exactly how they see fit — but more on that later.

What are some examples of job application templates?

Job application forms can range from general to extremely specific. Here are just a few examples of job application form templates that can help improve your process for bringing new talent onboard.

General job application form

Sometimes when it comes to job applications, less is more. A general job application might be just what you need if you’re sourcing candidates for multiple positions you need to fill quickly, such as seasonal roles. In this case, you might want a simple form to collect information such as basic contact details and work history.

Industry-specific job application form

Job applications can also be as unique as the positions themselves. Whether you’re hiring in education, finance, or any other industry, your company and candidates can benefit from a thoughtfully designed job application.

Filling complex or specialized roles takes a substantial amount of internal and external resources. It’s crucial that job applications for these positions are robust enough to let you quickly filter out candidates that don’t meet the requirements for the job — and elevate the candidates that do.

CV or resume collection form

CVs and resumes let candidates tell the story of their careers in an engaging but concise format that may provide important insight for hiring managers. Use CV or resume collection forms alongside job applications or on their own to help capture these details. For the easiest access to candidate documents, consider collecting these as PDFs or Word documents — ask for the formats that work for you in your job posting.

Our job application template comes with the basics like forms and a board, and you take it from there by choosing from features like:

  • Star ratings on the board to help recruiters quickly evaluate and sort candidates
  • File attachments on the template to allow the collection of resumes and cover letters
  • Date ranges so you can find the most recent applicants for job postings

monday.com Work OS serves as your primary hub for all things recruitment. On your job board, you can see submitted applications, track their status, and assign follow-up tasks to yourself or others.

Boards are designed for collaboration, and it’s easy to share your job board with other members of your team. Sharing access to the job board helps cut down on requests for information on the hiring process, so you can focus on the most mission-critical parts of recruitment.

For instance, you can allow anyone from the marketing team to see the status of applications for a position in their department — that means fewer questions directed to you about it.

Templates that work well alongside job application templates

Here are some other templates that can help you hire like a pro.

Job Description Format Template

Job descriptions give prospective employees a snapshot look into what their day-to-day work life would look like at your company. They should also outline your company’s key values and mission. Show off your business as the best place to work by providing applicants with clear information and expectations for the role they’re interested in.

A good job description should include:

  • Position title
  • Essential duties
  • Required skills/education
  • Preferred previous work experience
  • Company culture
  • Salary range

Whenever possible, consult directly with current members of the department that’s hiring to get the most accurate, up-to-date information about the role and its responsibilities.

New hire form template

Adding new employees often means adding new tasks to your list of to-dos. But with a new hire form template, you can streamline the onboarding process into a standard format and duplicate it across your company.

A good new hire form template should include legal documents necessary to complete the hiring process as well as the employee’s offer letter. You can also customize the new hire form template with other onboarding materials and information specific to each function within your company.
