Meet CASETiFY

CASETiFY is a global direct-to-consumer brand that designs and launches highly customizable tech and lifestyle accessories — from phone cases to everyday carry products and luggage — often through rapid product drops and creator or major brand collaborations. The business operates across ecommerce, retail stores, and expanding marketplace channels, serving customers in over 100 countries worldwide, with new designs and collections moving to market continuously.

As the brand grows globally, CASETiFY is focused on scaling its operations with the same speed and consistency that define its products — ensuring creative velocity never comes at the expense of brand quality or customer experience.

The challenge

As CASETiFY’s product velocity and global footprint increased, the volume and complexity of internal work grew with it.

Teams across the business were managing hundreds of concurrent initiatives — from campaign analysis and reporting to system enhancements and operational support — often under tight timelines and with little margin for delay. Requests flowed in through a mix of forms, spreadsheets, emails, and messages, making it difficult to see demand clearly, assess capacity, or prioritize work with confidence.

We were getting hundreds of requests, but no clear way to see what was coming in, what was duplicated, or how much effort different work actually required,” says Charlotte Chan, Growth Project Manager at CASETiFY. “Without that visibility, planning became reactive instead of intentional.

Manual tracking and inconsistent reporting compounded the problem. Timelines became harder to manage, scope creep more common, and decisions increasingly reliant on partial or outdated information.

For a brand built on speed and precision, this created real risk. Without a way to centralize work and align teams around a single source of truth, operational complexity threatened to slow launches, strain teams, and erode execution quality as CASETiFY continued to scale.

The solution

Why monday.com?

CASETiFY needed a work management platform that could bring structure to its internal operations without slowing the business down — and without locking teams into rigid systems that couldn’t evolve alongside a fast-moving brand.

We needed something flexible enough to evolve with us,” says Chan. “monday.com gives us structure without locking us into rigid processes — which is critical when the business and the way we work are constantly changing.

monday.com stood out because it allowed teams to design workflows around how work actually happens — from intake and prioritization through execution and reporting — while keeping everything connected in a single system. Requests could be standardized at the point of entry, normalized into structured data, and surfaced through real-time dashboards that gave leaders visibility into demand, capacity, and progress.

This combination of flexibility and visibility allowed CASETiFY to move from reactive coordination to intentional execution — without sacrificing the pace that defines the brand.

monday.com was also procured through the AWS Marketplace, helping CASETiFY centralize SaaS purchases and speed up vendor onboarding by leveraging its existing AWS relationship as the platform scaled.

Centralizing internal requests into a single source of truth

One of the first priorities for CASETiFY was bringing order to how work entered the system.

Previously, requests arrived through multiple channels, often without consistent context or prioritization. With monday.com, teams centralized intake through standardized forms that capture requirements, urgency, and timelines upfront — ensuring requests enter the system in a consistent, structured format.

Each request becomes a trackable item with clear ownership, status, and history, visible to both delivery teams and stakeholders. For technical teams, this meant cleaner inputs and fewer clarifying loops. For operational teams, it created a reliable, auditable record of demand across the business.

As visibility improved, ticket-related follow-ups to project managers dropped by approximately 30%, reflecting clearer ownership and more self-serve access to status. With fewer clarifications and manual updates required, teams also reduced internal communication overhead by an estimated 20-30%.

Turning demand into clear capacity and priorities

Once requests were centralized, visibility alone wasn’t enough — teams needed to understand what that demand meant in practice.

Because work enters monday.com in a consistent structure, dashboards can aggregate request volume, effort, and trends across teams and time periods. This allows leaders to see where capacity is stretched, where work overlaps, and how different types of requests consume resources.

This level of insight proved critical as teams continued to support 600–700 internal requests each year, helping leaders plan capacity and priorities with confidence. For operational leaders, this replaces guesswork with data-led planning. For technical teams, it provides the context needed to prioritize work realistically and justify trade-offs.

As a result, timelines became more predictable, scope creep was identified earlier, and planning shifted from reactive to informed.

Scaling project delivery with repeatable, flexible workflows

As CASETiFY’s portfolio of initiatives expanded, consistency became just as important as speed.

monday.com enabled teams to create reusable project templates with predefined stages, ownership models, and reporting views. New initiatives could be launched quickly, while automations handled routing, approvals, and handoffs — including coordination with external vendors where required.

From a technical perspective, this reduced manual orchestration and reliance on ad hoc coordination. From an operational perspective, it ensured every initiative followed a shared baseline — without enforcing rigid processes that limit adaptability.

The result is scalable execution: teams can move fast, maintain consistency, and adapt workflows as requirements change — all within a single, connected system.

AI-powered support for high-volume workflows

As request volumes continued to grow, CASETiFY embedded monday AI directly into existing workflows to reduce friction without introducing risk.

AI assists teams by summarizing long submissions, supporting categorization and assignment, translating inputs across languages, and flagging sentiment in urgent or sensitive requests. These capabilities help teams triage work faster and respond more effectively — while keeping humans firmly in control of decisions.

By embedding AI within established workflows rather than treating it as a standalone layer, CASETiFY ensured automation augmented human judgment instead of replacing it — allowing teams to scale throughput while maintaining accountability and clarity.

The impact

With monday.com, CASETiFY has brought measurable control to an increasingly complex operating environment — without slowing the business down.

Since rolling out monday.com, CASETiFY has reduced project scope creep by approximately 20%, reflecting clearer intake, better prioritization, and stronger alignment across teams. At the same time, the business has achieved 85% on-time project delivery since rollout, reinforcing execution quality as scale and demand continue to grow.

These operational improvements have translated into clear business value. CASETiFY has realized a 5x return on investment, driven by reduced rework, lower coordination overhead, and more predictable delivery across hundreds of initiatives each year.

The greatest value monday.com has brought us is a truly unified workspace. It has broken down departmental silos and turned cross-functional collaboration into a seamless, intuitive experience,” says Terence Fung, Engineering Director at CASETiFY.

Most importantly, teams now operate with confidence. Work is visible. Capacity is understood. Decisions are data-led. And as CASETiFY continues to expand across channels and regions, the way work runs behind the scenes is built to scale with it.
