The challenge

As BioPak expanded into new markets, operational complexity grew rapidly. But internal processes remained anchored in traditional tools like email and spreadsheets — systems that couldn’t keep pace with the increasing volume and urgency of work. Without a standardised platform, teams faced limited visibility, unclear responsibilities, and frequent breakdowns in communication.

It quickly became clear that without an integrated system, BioPak’s ability to scale while maintaining its high standards of customer service and quality would be at risk.

The solution

Why monday CRM?

BioPak needed a platform that could introduce structure, create clarity, and scale with the business. Critically, they also needed to unify project management across teams and empower their sales team with dedicated CRM capabilities.

Rumble selected monday.com for its ability to combine both Work Management and CRM solutions in one flexible, intuitive platform. Unlike rigid or overly technical alternatives, monday.com offered the customization BioPak needed — while remaining simple enough to drive fast adoption at scale. The ability to fully integrate NetSuite with monday.com over time was also a critical factor in the decision — paving the way for greater efficiency, improved data accuracy, and a meaningful reduction in manual tasks for the team.

With the support of the Work Perfect team and monday.com’s solutions experts, BioPak moved from planning to live adoption in just three months — a transformation that many companies would expect to take six to twelve months. Adoption has been strong across the business, with top users engaging with the platform more than four days a week to manage their work.

Streamlining workflows and scaling collaborations

"We mapped out every product workflow from start to finish, defined roles and responsibilities, and automated as many steps as possible," explains Rumble.

BioPak established five core workstreams — from custom product development to new customer onboarding — each with workflows built around pre-configured templates, clear RACIs (Responsible, Accountable, Consulted, Informed), and powerful automation triggers. Manual tasks like task assignment, approvals, and stakeholder updates were eliminated, allowing teams to focus on meaningful work instead of administration.

This structured approach also ensured projects moved faster with fewer bottlenecks, creating a scalable operational model to support BioPak’s growth.

Powering sales execution

In parallel, BioPak’s sales team adopted monday CRM to manage their new business pipelines, tenders, and client relationships more effectively.

Sales reps could easily track opportunities, move deals through the pipeline, and collaborate seamlessly with cross-functional teams — ensuring critical touchpoints were never missed. By automating follow-ups, notifications, and reporting, the sales team could focus on building relationships and closing deals, rather than juggling manual tasks.

"Whether it’s a product launch or a national tender, we now have the structure to move quickly and deliver high-quality work," says Rumble.

Full visibility, bottleneck management, and automation at scale

Customized dashboards gave leadership and teams real-time insight into project statuses, overdue tasks, and overall workflow health. One standout automation was the "overdue status" alert system — instantly flagging bottlenecks before they became major risks.

"When a new business pitch comes in, everyone knows: put it through monday.com and the team will get it sorted," says Rumble. "That line of sight has changed everything."

This visibility, combined with streamlined handoffs across teams, removed guesswork and created a new level of organizational agility.

The impact

BioPak’s transformation with monday.com was both operational and cultural — and nothing short of remarkable.

With monday.com’s Work Management and CRM products, BioPak implemented structured workflows and now manages over 900 active projects simultaneously. Manual tasks — like populating data, notifying stakeholders, and tracking deliverables — were automated at scale, enabling teams to redirect their focus toward meaningful, high-impact work.

Today, the platform powers an average of 20,000 automations each month, streamlining critical processes and reducing reliance on manual inputs. In parallel, the team logs an average of over 160,000 actions monthly — clear proof of how deeply embedded monday.com has become in BioPak’s daily operations.

These efficiencies translated into tangible business results, including an extraordinary 12x return on investment.
