Alexis’ story

Turning hundreds of scattered tickets into proactive leadership intelligence

The challenge

Our Business Intelligence team manages a large volume of requests coming from multiple internal teams and clients, all tracked within monday.com. While we had plenty of data, we didn’t have an easy way for leadership to understand what was actually happening across the organization.

If a leader wanted to know which clients needed attention, which teams were overloaded, what work was falling behind, or where deadlines were starting to slip, they had to click through multiple boards, views, and tickets to piece the story together.

The challenge wasn’t a lack of reporting. The challenge was turning all of that information into a single destination where leaders could immediately see operational health and spot potential delivery risks in just a few clicks.

The build

I built a custom Business Intelligence Dashboard using monday Vibe, turning leadership’s most frequent business questions into a working application.

The dashboard is built on our Business Intelligence board and includes nine views: Executive Summary, Monthly Overview, Weekly Actions, Team Workload, Priority Analysis, Pushed Deadlines, Process Health, Risk Forecast, and Stale Tasks.

The Executive Summary provides a month-by-month view of operational performance, active work, completed work, blocked tickets, and overdue work.

The Pushed Deadlines view identifies every ticket whose due date changed from its original commitment, categorizes movement by severity, and highlights clients with schedule movement so leaders can drill directly into the issue.

The impact

The dashboard saves approximately 10 to 12 hours per week previously spent sitting in internal overview meetings and manually compiling executive reports.

We transformed reporting from multiple disconnected views into one centralized Business Intelligence board with nine leadership-focused views, used by eight leads and 20+ team members to monitor team health, review performance, and identify delivery risks..

The biggest impact came from the Pushed Deadlines functionality. Leaders can now identify delivery risks in under 15 minutes, reducing review time by an estimated 75% to 80%..

Conversations that were previously focused on gathering updates are now focused on solving problems, managing priorities, and addressing risks earlier.

🎯 The Goal

Eliminate hours of manual executive status reporting across disconnected boards and ticketsβ€”transforming raw business intelligence and project data into a 9-view leadership cockpit that surfaces delivery risk early by tracking deadline slippage, team workload overload, and stale tasks in just a few clicks.

3. AI Agent Prompt (Weekly Executive Risk Briefing Agent)

“You are the Executive Delivery Risk Analyst for [Company Name]. Your job is to brief leadership on operational bottlenecks before weekly review meetings.

Every Monday at 7:30 AM:

  1. Scan our [Central Business Intelligence Board] and evaluate all active items.
  2. Calculate:
    • Total deliverables currently past due.
    • Items with Slippage Severity marked as Critical.
    • Client accounts experiencing more than 2 pushed deadlines this month.
    • Stale tasks with zero activity for over 7 days.
  3. Generate a concise Executive Operational Health Briefing and post it to our Leadership Workspace:
    • Executive Summary: [1-sentence status of overall delivery health]
    • Top 3 Accounts at Risk: [Client Name + Top slippage driver + Days delayed]
    • Workload Bottlenecks: [Teams or Leads over capacity]
    • Recommended Leadership Actions: [Specific decisions or resource shifts needed today]”*

4. Automated Risk Management Recipes
  • Initial Date Baseline Lock: When an item is created and Due Date is set, automatically duplicate date value into Original Due Date.
  • Executive Escalation Trigger: When Slippage Severity changes to Critical (8+ Days) on a P1 priority item, notify [Department Director] and tag the item in the Weekly Risk Review queue.
