The more data elements and columns added, the more complex the database becomes.<\/p>\r\n<p>It doesn\u2019t take long before the database has gotten so large that no one person understands the whole thing.<\/p>\r\n<p>That\u2019s why database documentation is critical.<\/p>\r\n<p>Yet generating documentation is frequently the last item on everyone\u2019s list. It\u2019s complicated and time-consuming\u2026<\/p>\r\n<p>\u2026right?<\/p>\r\n<p>Not if you have the right database documentation tool. This article will tell you exactly how to find one and the less suitable options available.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\">What is database documentation?<\/h2>\r\n\r\n\r\n\r\n<p>Database documentation is inseparable from data storage.<\/p>\r\n\r\n\r\n\r\n<p>A database is a structured system for storing information so it can be retrieved again later.<\/p>\r\n\r\n\r\n\r\n<p>Most people use \u201cdatabase\u201d to refer to a spreadsheet with rows and columns. The information is organized in a way that makes it easy to retrieve, reference, and edit different file formats.<\/p>\r\n\r\n\r\n\r\n<p>Take a look at the 5th\u00a0column, though. Do you know what \u201cBCA board link\u201d means? Or exactly what defines the statuses in the 7th\u00a0column?<\/p>\r\n\r\n\r\n\r\n\r\n\r\n<p>The only people who know exactly what the column headers mean are the members of this team. It\u2019s the ability to find something you\u2019re looking for, and understand it when you find it.<span><\/span><\/a>\r\n\r\n\r\n\r\n<p>That\u2019s why a library counts as a database, but our garage doesn\u2019t.<\/p>\r\n\r\n\r\n\r\n<p>Of course, having the best system in the world doesn\u2019t help if nobody knows how to use it. It helps marketers keep track of which clients have requested what sorts of work.<\/p>\r\n\r\n\r\n\r\n<p>To document this database, start with a guide to what it\u2019s for, then explain what all of the columns mean. Column explanations should be clear enough that anybody on the team can understand them.<\/p>\r\n\r\n\r\n\r\n<p>Next, describe the attributes.<\/p>\r\n\r\n\r\n\r\n<p>For example, one of the new requests in the top section of the table is \u201cStuck.\u201d How should somebody interpret that attribute when they see it? Is the request blocked because the owner is on vacation, because the client hasn\u2019t provided key information, or for some other reason? How long does something have to be stalled before it\u2019s labeled \u2018Stuck\u2019?<\/p>\r\n\r\n\r\n\r\n<p>The next step is to explain any other views of the database. The hard part is finding the right one. Take a look at these 5 tools to get you started.<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">1. monday workdocs<\/h3>\r\n\r\n\r\n\r\n<p>A <a href=\"https:\/\/support.monday.com\/hc\/en-us\/articles\/360021702939-monday-workdocs\" target=\"_blank\" rel=\"noopener\">monday workdoc<\/a>\u00a0is a collaborative workspace that shares a platform with all your other monday.com databases.<\/p>\r\n\r\n\r\n\r\n<p>You can use a workdoc for just about any task that your team members work on together, including database documentation.<\/p>\r\n\r\n\r\n\r\n<p>monday workdocs actively integrate with your databases, changing automatically as they do.<\/p>\r\n\r\n\r\n\r\n<p>Let\u2019s say you wanted to document the database that holds the brainstorming items for a campaign to boost car sales.<\/p>\r\n\r\n\r\n\r\n\r\n<div class=\"wp-block-image\">\r\n<figure class=\"is-style-default aligncenter\"><img decoding=\"async\" class=\"aligncenter\" title=\"monday.com table embedded in workdoc\" src=\"https:\/\/monday.com\/blog\/wp-content\/uploads\/2021\/08\/Untitled-63.png\" alt=\"monday.com table embedded in workdoc\" width=\"1200\" height=\"566\" \/><\/figure><\/div>\r\n\r\n\r\n<p>If you link the car campaign brainstorming database to a workdoc, you can set the doc to update every time you add a new column or attribute.<\/p>\r\n\r\n\r\n\r\n<p>Just click over to the workdoc, add a description, and presto: database documentation you barely have to think about.<\/p>\r\n\r\n\r\n\r\n<p>monday.com also offers over 40 widgets that are fully supported in workdocs. Word processors<\/h3>\r\n\r\n\r\n\r\n<p>This is the simplest option, but it\u2019s also the least powerful.<\/p>\r\n\r\n\r\n\r\n<p>Using a word processor, you can write a manual for understanding your database. You can add screenshots and diagrams, but if you go this route, all of your documentation has to be done manually.<\/p>\r\n\r\n\r\n\r\n\r\n\r\n<p>Database documentation through a word processor isn\u2019t entirely a bad choice. It\u2019s a tool that everyone on your team almost certainly knows how to use already.<\/p>\r\n\r\n\r\n\r\n<p>In fact, it\u2019s totally possible to use monday.com workdocs this way, if you ignore embedding and automations.<\/p>\r\n\r\n\r\n\r\n\r\n<div class=\"wp-block-image\">\r\n<figure class=\"is-style-default aligncenter\"><img decoding=\"async\" class=\"aligncenter\" title=\"monday.com workdoc text only\" src=\"https:\/\/monday.com\/blog\/wp-content\/uploads\/2021\/08\/Untitled-65.png\" alt=\"monday.com workdoc text only\" width=\"1200\" height=\"601\" \/><\/figure><\/div>\r\n\r\n\r\n<p>But the more you rely on manual inputs to maintain your documentation, the more of it will fall by the wayside.<\/p>\r\n<p style=\"text-align: center;\"><a class=\"cta-button blue-button\" aria-label=\"Get started\" href=\"https:\/\/auth.monday.com\/users\/sign_up_new\" target=\"_blank\">Get started<\/a><\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">3. Spreadsheets<\/h3>\r\n\r\n\r\n\r\n<p>Using a basic spreadsheet for database documentation comes with many of the same problems as using a word processor.<\/p>\r\n\r\n\r\n\r\n<p>You have to prepare it manually. Then you could connect it to your original database so the documentation updates automatically.<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">4. SQL database consoles<\/h3>\r\n\r\n\r\n\r\n<p>Standard query language (SQL) is the language that powers relational databases, including Oracle and Microsoft Access. It\u2019s the basic technology for retrieving and updating information without working manually.<\/p>\r\n\r\n\r\n\r\n<p>Many of the apps that let developers work with <a class=\"wpil_keyword_link\" title=\"SQL\" href=\"https:\/\/monday.com\/blog\/crm-and-sales\/sales-qualified-leads-sql\/\" target=\"_blank\" rel=\"noopener\" data-wpil-keyword-link=\"linked\">SQL<\/a> databases also include features that can automatically generate SQL database documentation.<\/p>\r\n\r\n\r\n\r\n<p>Microsoft SQL Server and Oracle SQL Developer Data Modeler can create a database schema if you import the objects that make it up.<\/p>\r\n\r\n\r\n\r\n<p>It\u2019s faster and easier than documenting everything manually in a spreadsheet, but not by much. There\u2019s no real-time integration or any sense of a workflow. Database documentation is still a task you have to attend to regularly.<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">5. Documentation generators<\/h3>\r\n\r\n\r\n\r\n<p>If you choose not to use the built-in features of your database console, some 3rd-party tools for database documentation exist.<\/p>\r\n\r\n\r\n\r\n<p>dbForge Documenter is one of the better-known examples. It pulls the metadata (the data about your data) from your database, and uses it to construct a map of its relationships.<\/p>\r\n\r\n\r\n\r\n<p>Generators like dbForge Documenter are fairly simple to use, but like the built-in documentation on SQL Server and the other database consoles, you can\u2019t edit the database schema it produces.<\/p>\r\n\r\n\r\n\r\n<p>There are some database documentation generators that make documentation a living thing with a 2-way relationship to the database.
